You will make an impact by:
- Address the clinical requirements for OT students.
- Performs administrative, supervisory, and complex clerical work in a fast-paced, collaborative and demanding environment.
- Monitor fieldwork education timelines (contracts, site placement packets, confirmation letters, reservation forms and others as directed), providing reminders to the Academic Fieldwork Coordinator, Fieldwork Site Coordinator, and students.
- Assist in compiling clinical education policies and procedures.
- Manage a variety of documents (letters, fieldwork education policies and procedures, clinical contracts, reports) using filing systems as needed.
- Assist in conducting, collecting and recording program outcomes assessment data.
- Assist in maintaining student documents related to student progress, communication, performance during fieldwork.
- Manage fieldwork education database by updating fieldwork sites, fieldwork educators, contact information, contracts, student-fieldwork placements, other forms as needed. Monitor and regularly update contract agreements to assure responsibilities for both West Coast University and FW site are clearly documented.
- Assist in compiling and maintaining accreditation materials specific to fieldwork.
- Modify and edit all contracts.
- Enter all Rx Preceptor data (input site and student information, send log-in information to all sites, understand how to navigate system and use it efficiently).
- Call sites and confirm placements for Level I and Level II.
- Send out Fieldwork Education Request Form (FERF) to all sites and make sure to receive them back (must follow the timeline of when to send these out).
- Add all fieldwork dates/meetings to Master Calendar.
- Attend fieldwork meetings with students and assist with leading the Rx Preceptor trainings.
Your Experience Includes:
- Two to three years of experience performing complex and responsible office and administrative/secretarial duties, preferably including some administrative support work for one or more managers in an academic, business or dental office environment.
- Proficient command of grammar, punctuation, spelling, and correct usage of the English language.
- Comprehensive knowledge of office systems, practices, and administration.
- Proficient skills and experience in Microsoft Office computer software systems that includes word processing,
- Excel spreadsheets, and presentation software. Proficient reception and telephone communication skills and techniques.
- Principles and practices of classifying, indexing, processing, retrieving, and controlling a large volume of records.
- Record keeping, account maintenance, and purchasing practices and procedures.
Education:
- High school graduate or equivalent required.
- Associates degree or coursework in accounting, administrative and personnel management, and data processing preferred.
